Introduction
To serve you best, we at IS&T strive to
receive your request quickly, to
understand it fully, and to update it
promptly. To help us meet those needs,
IS&T has composed 6 guidelines to follow
when making your website update
requests. If you are an employee or
student with information that needs to
be updated or added to Lee University's
website, please read the
guidelines listed below before
submitting your web request.
IS&T’s Guidelines for Website Update Requests
1. Send requests to the webmaster
account.
All website update requests should be
sent to the webmaster account at:
webmaster@leeuniversity.edu.
Even if you know someone at IS&T who you
want exclusively to work on your update
or project, it must be sent to or at
least carbon copied to the webmaster
account.
2. Carbon copy the webmaster account
on all correspondence.
Unless you are emailing the webmaster
account, all emailed
correspondence to the developer who
is updating your request should be
carbon copied to
the webmaster account at:
webmaster@leeuniversity.edu.
3. Introduce yourself and specify your
site.
Your update request may pass through
several hands before it finally reaches
the developer who is assigned to update
it. Therefore, we ask that you include your name and contact
information in the emailed update so the developer
can contact you if needed. It
is also important to specify the address,
or URL,
of the site that needs to be updated. Do not say,
“On the music site, update…” Rather,
specify, “On http://music.leeuniversity.edu/instrumental/default.asp,
update…”
4. Specify changes to be made.
A large amount of miscommunication can be
avoided by specifying the exact content
that is to be changed and also by specifying
the exact replacement.
Following are several ways to stop
miscommunication when requesting such
replacement:
- Text Replacement: First,
put in quotation marks the text
you would like replaced. Then, quote the
exact text you want to be its
replacement. See the following example:
Please replace the
text, "The primary goal of the
Department of Teaching and Learning is
to prepare competent and caring
professional educators." with the text,
"The first directive of the department
is to prepare competent and caring
teachers." As in this
example, if several changes must
be made within a segment of text, you
must quote the entire section of text
and textual replacement, rather than
indicating each change specifically.
This greatly helps reduce
miscommunication and ambiguous
directions.
- Graphic Replacement:
To avoid ambiguous directions, do not say
"Replace the green graphic with the
attached file." You may have
several attached files, or there may be
several graphics on the page that can be
seen as green. Rather, state the
file name of both the graphic you want
replaced and its replacement.
- Link Replacement: Link
replacement and deletion is covered in
the following guideline.
5. Differentiate between a link’s
text and its specific URL or address.
It is important to both designate and
differentiate between a link's text and a
link address. A link includes both:
- the text: the actual text displayed
on the page for the link
The proper way to designate the text
is to put it inside quotation marks,
which allows you to specify the exact
link text.
- the URL/address: the destination (a page,
file, or email address) to which the
link leads once clicked.
For a page or file, list the exact
URL or web address. It is not necessary
to specify the exact URL or address if
the page or file has not yet been
created.
A clear way to specify a link update is: Make a
new link named “Exam Schedule” and
address it to http//:www.leeuniversity.edu/examschedule.asp.
Similar to requesting a text
replacement, this is how to request an
update for a link's text: Change the name of the link “Job Search”
to “LeeCareerCentral – More than just a
job board!”
6. Specify the deletion of
pages, files, and links.
If you want something deleted, you must
specify exactly what needs to be deleted.
If a link is removed, but you
also would like the page or file to
which it was linked deleted, please
specify that you would like the actual
page to be deleted. This will ensure
that no pages are mistakenly deleted or
kept unnecessarily.7. Follow

Frequently Asked Questions
How long will it take for my request
to be updated?
It usually takes approximately 48 hours
for IS&T developers to complete small update
requests. The time it takes to handle
larger requests depends on the amount of
work required. If you are requesting a
new site creation, the timeframe will be
determined based upon the requirements.
Who is handling my requests?
Feel free to meet or contact members
of the IS&T
Development staff at http://ist.leeuniversity.edu/info/staff/development.asp.
Usually your request will be completed
by an IS&T Development student worker.
What if I need more updated than just
the request?
If you have additional updates that
are related to your original request and
you know who is working on your request,
email that developer being sure to
carbon copy the webmaster account.
Otherwise, send your requests to the
webmaster account.
